Paperwork, load-in and logistics

For planners & venues

The details, handled.

Planners and venue coordinators have enough to chase. Here's what to expect when Core Entertainment is on your event, from insurance to load-in to the last song.

Paperwork

Everything your office needs.

Certificate of insurance

We carry liability insurance and send a certificate naming your venue before load-in.

Invoices & W-9

We can invoice your company, school or organization and send a W-9 for your accounting team.

Event day

How we run the night.

Load-in

It depends on the size of the setup, but usually 2 to 4 hours before doors. We'll set the exact time with your venue.

Backup gear

We bring backup equipment to every event.

Ceremony anywhere

Our ceremony system is battery powered, so outdoor ceremonies work even with no power nearby.

In-house A/V

We can run everything, or plug into what the venue already has.

Multiple rooms

Ceremony, cocktail hour, main stage and breakout rooms can all run at the same time.

Your run of show

Our MC works from your timeline, introduces speakers and keeps the night on schedule.

Power & space

What we need from the room.

  • DJ setup powerOne standard outlet, ideally on its own 20-amp circuit, within 50 feet of the DJ spot.
  • Photo booth powerNone needed. The booth runs on battery, so it can go anywhere in the room.
  • Full productionStages, lighting and screens need more power. We work out the circuits with your venue ahead of time, often two or more.
  • DJ booth space8 x 4 feet for Core, 10 x 4 feet for Elevated and 12 x 4 feet for Iconic.
  • Photo booth space8 x 8 feet.
  • Nothing to set upWe bring everything we need, so your venue doesn't have to prepare anything for us.

What helps us most.

Send these over and we will take it from there.

  • Your COI wordingThe exact name and address to list on the certificate, plus any extra insured parties.
  • Load-in detailsThe entrance or dock we should use, parking for our vehicles and the earliest time we can get in.
  • Timeline or run of showThe schedule for the day, including speeches, formalities and any hard stop time.
  • Venue rulesAnything about effects, sound limits, sparks or haze, so we plan around them ahead of time.
